Maid Hiring Process in Malaysia: From Choosing a Candidate to Arrival

The process at a glance

With Darkforest, hiring a maid in Malaysia begins with a video interview and both parties agreeing to proceed. You then pay a 50% deposit to confirm the booking and submit the required employer documents to start the application. Once the relevant approvals and entry arrangements are in place, we coordinate your maid's arrival and transfer to your home. The remaining 50% balance is payable at this stage. We assist with documents and follow-up, but approval, medical screening and permits remain subject to the authorities' requirements. Choosing a candidate does not mean she can start work immediately.

Already interviewed a candidate or ready to choose your maid? Your next step is to understand who handles each stage, what you need to provide and which arrangements must wait for official approval.

Agensi Pekerjaan Darkforest Resources Sdn Bhd provides Indonesian and Filipino maid matching and application assistance for families in Peninsular Malaysia. We guide you through candidate confirmation, employer documentation and arrival arrangements, so you know your responsibilities, payment stages and what to prepare next.

What should you clarify before choosing a maid?

Completing a video interview does not automatically start the application. You and the candidate should first agree on the main duties, relevant experience, communication, accommodation and reasonable work expectations. You should also review the service terms.

At Darkforest, we begin by understanding your household, sharing candidate profiles and work histories, and arranging video interviews. The deposit and booking stage begins only when both you and the candidate agree to proceed.

Four things to check before you commit

  • Main duties: Will the role focus on cleaning, laundry and cooking, or include help with children or elderly family members? Set out the core tasks and priorities clearly.
  • Candidate experience: Ask what work she has handled before and which skills need further discussion. General household experience is not the same as professional nursing qualifications.
  • Communication and living arrangements: Discuss everyday language, reasonable rest, accommodation and household routines so both parties understand what to expect.
  • Employment terms: Check the service scope, payment stages, contract and conditions for ongoing support.

Our candidate screening includes arrangements for health checks and background checks in the country of origin. However, a candidate's practical skills, suitability for your household and applicable post-arrival medical requirements must each be considered separately.

If any duties remain unclear, speak with us before confirming your choice. You can also explore our maid recruitment services to understand the scope of our Indonesian and Filipino maid matching services.

After the 50% deposit: who handles what?

Once you confirm a candidate and pay the 50% deposit, there is still work to do before she arrives. Employer information must be collected, the required documents prepared and the application started. Both you and our team have a part to play.

In our maid hiring process, the 50% deposit confirms the booking after both parties agree to proceed. We then explain which employer documents are needed and help organise them for the application.

Your responsibilities as the employer How Darkforest assists The authorities' responsibilities
Provide truthful, complete application information based on your personal and household circumstances. Explain the required documents, collect employer information and help prepare the application. Assess eligibility and documentation under the applicable rules.
Check your personal details, household information and documents requiring your signature. Assist with documentation and application procedures, including requests for additional information. Process the relevant approvals, visas and permits.
Supply additional information promptly when requested and stay informed about progress. Keep you informed about the application stage and upcoming arrangements. Make decisions based on eligibility, documents and applicable conditions.

Which documents do employers usually need?

The exact documents depend on your eligibility, household circumstances and the maid's country of origin. They may include identification, proof of income, marriage or family relationship documents, and evidence supporting your need for a maid, such as children's birth certificates or a family member's medical documentation.

Not every household needs the same set of documents. We explain the requirements for your application route. You should ensure all information is truthful and accurate, and provide originals when required.

Important: Paying the deposit starts the booking and subsequent application process. It does not mean the government has approved the application, a visa has been issued or an arrival date is confirmed. Incomplete documents, eligibility requirements and official decisions can all affect the next steps.

Application assistance is not government approval

A maid agency can help prepare, coordinate and follow up on an application, but only the relevant authorities can approve it. Employers, candidates and their documents must still meet Malaysia's applicable requirements for foreign domestic helpers.

Hiring a maid in Malaysia falls under the Foreign Domestic Helper (FDH) application category. Quotas, trial arrangements or start dates associated with companies hiring foreign workers should not be assumed to apply to household maids.

What our agency can help with

  • Explain the relevant application steps and document requirements.
  • Help collect, organise and coordinate the required information.
  • Follow up on progress and requests for additional documents.
  • Coordinate arrival and placement arrangements after approval.

What authorities and designated bodies handle

  • Determine employer and candidate eligibility.
  • Process the required applications, visas and permits.
  • Handle entry and immigration status procedures under the rules.
  • Conduct the required medical examinations and health assessments through designated providers.

Requirements may vary by country of origin and household circumstances. For example, Indonesian and Filipino maid applications may involve different documents and procedures. We coordinate each case according to its requirements and cannot guarantee approval before the assessment is complete.

You can refer to the Malaysian Immigration Department's Foreign Domestic Helper (FDH) requirements for information on entry, documentation, medical screening and permits.

The most useful way to track progress is by stage: document preparation, approval pending, visa processing or arrival arrangements. Completing the relevant requirements at each stage is what allows the process to move forward.

Arrival, home placement and the final payment

With Darkforest, the remaining 50% balance is payable when your maid arrives and her transfer to your home is arranged. However, arriving in Malaysia, completing the handover at home and being authorised to work are separate milestones.

The applicable approvals, visa and entry requirements must be addressed before travel to Malaysia is arranged. After arrival, the relevant medical screening and work permit procedures must also be completed in line with Immigration Department requirements.

The maid hiring process, step by step

You and the candidate discuss the role and confirm whether you both wish to proceed.

02 | Pay the 50% deposit
Once both parties agree to proceed, you pay a 50% deposit to confirm the booking.
03 | Submit employer documents and start the application

We collect the required information and assist with documents and applications. Progress depends on documentation, eligibility and approval.

04 | Approvals, visa and arrival arrangements

Once the required documents are obtained and relevant conditions are met, we coordinate entry and arrival arrangements.

05 | Arrival and transfer to your home

We arrange your maid's transfer to your home after arrival and explain any outstanding procedures that require your cooperation.

Payment stage: pay the remaining 50% balance
The balance is due at the arrival and home placement stage.
06 | Complete required procedures and receive ongoing support

Confirm medical and permit requirements, with assistance for necessary follow-up arrangements throughout the contract period.

Arrival does not mean immediate permission to work

The Immigration Department's FDH process includes a post-arrival medical examination at a FOMEMA-designated clinic and issuance of the temporary employment pass, PL(KS), once the conditions are met.

Starting work depends on the applicable permit and official requirements. Arrival at the airport or your home alone does not authorise your maid to begin work.

At the handover stage, ask us which application documents are complete, whether any medical or permit steps remain, who will follow up, and how to keep the relevant notices and records.

Applications, medical screening, visas and entry arrangements vary by case, so an initial estimate should not be treated as a fixed start date. The 50% deposit and 50% balance describe our payment stages; exact amounts and contractual conditions must be confirmed in the formal documents.

After home placement: support, documents and key dates

Home placement does not mark the end of all administrative requirements or support. Keep your employment contract, payment records, permit details and important dates, and make sure you know whom to contact when you need help.

Darkforest's maid contract package runs for two years, with ongoing assistance throughout that period, including help with permit renewals and other necessary arrangements. The package also includes a three-month replacement guarantee, subject to the written agreement confirmed by both parties.

Records to keep safely

  • Formal employment contract and service agreement.
  • Receipts for the deposit, balance and other payments.
  • Visa, permit and relevant medical documents.
  • Important expiry dates and renewal reminders.
  • Records of follow-up contact and service communications.

Three different periods to understand

  • Two-year contract: The contract period for the employment package.
  • Two years of ongoing support: Assistance with permit renewals and necessary arrangements.
  • Three-month replacement guarantee: Conditions and responsibility for costs are set out in the written agreement.

These are separate provisions. Two years of ongoing support does not mean unlimited free replacements for two years, nor does it mean every subsequent government or third-party fee is included.

Need help after your maid arrives?

Contact our maid services team about permit renewals, documents or other follow-up matters. Once you explain the situation, we can discuss the next steps under the applicable procedures and your agreed service terms.

When should you contact us remotely or visit an office?

You do not need to be based in Johor Bahru to enquire by our dedicated maid services phone line or WhatsApp. Tell us your location, whether you have completed a video interview and which application or document steps you want to discuss. We can then advise how to proceed.

We have office contact locations in Johor Bahru, Johor, and Cheras, Kuala Lumpur. If you need an in-person discussion, original document checks or agreement signing, please confirm the submission method, meeting location and time with our team first.

Not every stage requires an office visit, but not every procedure can necessarily be completed remotely. Attendance depends on document requirements, official procedures and the arrangements for your case. You can contact Darkforest's maid services team to confirm your next step.

Maid Hiring Process in Malaysia: Frequently Asked Questions

The 50% booking deposit is payable only after you and the candidate complete the video interview and both agree to proceed. An initial enquiry or an interview alone does not confirm the hiring arrangement.

No. The deposit confirms your booking. We then collect employer documents and start the application. Approval remains subject to the authorities' assessment of eligibility, documentation and other applicable conditions.

You may need identification, income documents, proof of marriage or family relationships, and documents supporting your household's care needs. The exact checklist depends on your household, the maid's country of origin and current application requirements. We explain this during document collection after your booking is confirmed.

Arrival alone does not authorise her to start work. She must meet the applicable entry, FOMEMA medical screening and work permit requirements. Under the Immigration Department's FDH procedures, she may work under the approved conditions only after passing the required medical examination and obtaining the applicable PL(KS) pass.

No. Darkforest's two-year contract package includes a three-month replacement guarantee and two years of ongoing assistance with permit renewals and necessary arrangements. The number of replacements, applicable conditions and responsibility for costs are governed by the formal written agreement.

Choosing your maid is the first step, not the final approval

The maid hiring process in Malaysia continues after candidate selection with the booking deposit, employer documents, relevant government applications, visa and entry arrangements, home placement, and the required medical and permit procedures. Each stage involves different responsibilities. A successful interview or deposit payment should never be mistaken for official approval.

We help families in Peninsular Malaysia understand and progress through the relevant documentation and placement steps, with necessary ongoing support during the two-year contract. Knowing what to submit, what to wait for and when to pay helps you plan the hiring process with greater clarity.
